Keeping Your Messages Private

Conversing with a Client about sensitive information? Using a Third-Party to discuss internal HR issues? Likely there will be some things in Accelo you want to make sure are Private.  If you're sending off sensitive information, easily set your preferences to ensure certain messages remain private.

What does Accelo Capture?

Accelo's automatic email capture system automatically records and displays email sent to or from your Accelo Contacts.  In order for our system to begin capturing information, your contact must first exist in your account

We will capture: 

  • Emails sent to email addresses listed as Contacts in Accelo.
  • Attachments sent to email addresses listed as Contacts in Accelo.

We will not capture:

  • Emails sent to email addresses which are not listed as Contacts in Accelo.

  • Internal emails sent to other internal users/colleagues, as long as that email is not part of a client email chain.

A few examples of situations where emails to other internal users/colleagues will be recorded:

  • A colleague creates a Note in Accelo and sends it to you. You reply to this note from your email program, which is then captured in Accelo.

  • A colleague sends an email from Accelo which you are CC'd on. You reply to this email from your email program, which is then captured in Accelo.

  • A client/contact listed in Accelo sends you an email which you forward to a colleague.  That forward will be recorded in Accelo.


How to Keep Messages Private?

Accelo's automatic email capture system automatically records and displays emails sent to or from your Accelo Contacts, but there are times when the messages shared between your clients need to remain private. Accelo understands the need for privacy, and we have multiple ways to keep some or all of your messages between sensitive clients private.

Messages in Accelo can be kept private in one of three ways.


To change your Default Visibility:

  1. Choose to make all of your correspondence Confidential by default. That option is found on your Preferences page by clicking your User Profile Icon in the top right corner of Accelo and selecting Preferences.

  2. Choose "Confidential: captured emails will have their content hidden from other users, but others can see conversation occurred.


To change Visibility in an individual activity:

  1. Open the Activity and click the Visibility button there.


To create Relationships:

Relationships can be configured on a per-Client basis to control how messages between yourself and that client are displayed.  

  1. Open the Client and use the Add Relationship button to select how future messages will be displayed.


  2. There are multiple settings you can change for either the entire Client/Company, or individual Contacts at that company. You can also view all existing relationships.


Types of Privacy:

    • Confidential Relationship: Hides the content of Activities, but continues to inform users that a Confidential Activity occurred on the date of the Activity between you and the client.
    • Secret Relationship: Completely hides all trace of an Activity from other users
    • Manager Relationship: Does not hide Activities, but will instead mark you as being the manager of that account

Note: Relationships are not applied retroactively. Changes will only take effect for newly created activities.


Privacy Keywords

Privacy keywords are special words and phrases that can be included in emails which you send outside of Accelo.  When syncing your email into Accelo, these keywords will cause Accelo to automatically identify your email as confidential or secret, ensuring that emails sent outside of Accelo can be accurately confined.  Further details on those key words and phrases can be found in our Privacy Keywords Guide.
