A sign off on a project is a way for you and the customer to agree on what needs to happen before you can move to the next stage. Some sign-offs include purchase orders for vendors, moving on to the next step like go-live or even just a mutual agreeance on what the design should be for the given project that you're working on.
So, for example let's have a go-live sign off and a key part of the signoff is to include internal and external state [contacts] as recipients so that they can agree mutually to move forward. So, for example I would go along and pull in Jimmy who is my customer as well as Janice who is my internal project manager and also someone who needs to approve. Then, lastly I want to put Rebecca as someone who's just observing, it doesn't necessarily need to approve but would be important in this signoff process.
Now, what I can do is send the sign off which will send it out to everyone's email as well as include a client portal link in which the customer and internal team members can log into the sign off, approve or decline right from it and even make comments.
